Preparing Photo Day: Checklist for School Photographers

A school photo day is a logistical masterpiece. Hundreds of children often have to be photographed in a single morning - every second counts. With structured preparation, you avoid stress on site and ensure a smooth shoot.

Preparation weeks before photo day

A successful photo day begins long before the actual shoot. Make sure the following points are clarified in advance:

• Import student lists: Request the name lists of the classes in good time as an Excel or CSV file from the school management and import them into your School Photography Software.
• Check declarations of consent: Check for which children consent forms for photography are available.
• Prepare access cards: Generate individual PIN access cards for parents and print them out.
• Coordinate schedule: Agree on fixed times for the individual classes with the school management (approx. 10-15 minutes per class).

The day before the shoot: Technical checklist

Check your equipment the day before. Don't compromise:

• Charge batteries: Fully charge all camera batteries as well as replacement batteries and power banks for your smartphone.
• Empty memory cards: Format sufficiently fast memory cards in the camera.
• Print the cards: print the QR photo cards from the dashboard, one per child plus the group card. Pack a few spare cards for children who are not on the list.
• Pack backup equipment: Take a second camera and a replacement lens with you. A technical defect on site must not stop the photo day.

On site on photo day

This is how the photo day on site runs without hectic:

• Set up lighting: Set up your flash and background system in good time before the first class arrives and take test shots.
• Keep app ready: Open the project in the Pixalo app on your smartphone.
• Greet the child and shoot the card: welcome the child, photograph its card first, then take your shots. The next child means the next card.
• Hand out PIN cards: Give the PIN access card for the parents to the teacher or directly to the child to take home.

Post-processing: Upload and release

After the photo day, the pictures only have to be put online:

• Import images: Upload all photos taken into the corresponding Pixalo event.
