Compliance & Backup
Your business records as a ZIP file. For your accountant, for the tax office, for your peace of mind.
At a glance
- A backup holds every invoice and credit note as a PDF, plus orders, customers and settings.
- Automatic at your chosen frequency, or any time at the push of a button.
- On the 1st of every month Pixalo also creates a full backup.
Each backup is a ZIP file with all records since your account started:
| In the ZIP | Contents |
|---|---|
| Invoices | Every invoice as a PDF, named after the invoice number. |
| Credit notes | Every credit note as a PDF. |
| Orders | All orders as a CSV table: number, date, customer, job, payment method, amounts, discount code, items. |
| Customers | All customer accounts as a CSV table with address and number of orders. |
| Master data | Products, packages, jobs with groups, company and invoice settings, and a summary with all counts. |

With automatic backup on, Pixalo backs up your records at night at 3:00 am German time, at your chosen frequency.
- The newest backup is always kept, even if it is older than the retention period.
- Frequency beats retention: with weekly backups each one stays at least a week, until the next one exists.
- Older backups are deleted, including the ones you created by hand. Download important backups first.
- Switched off: the settings stay visible and saved, but locked.
A monthly backup for everyone
The bin icon in the row deletes a backup. Pixalo asks first. The ZIP file and the entry are removed for good.
Download your backups
- Before cancelling: download a current backup. More under Subscription.
- Single invoices: always available under Invoices.
Frequently asked questions
Do backups count towards my storage?
Yes. Under Subscription you see them as their own category, Backups. They only hold documents, so they are usually small.
Can I open the CSV files in Excel?
Yes. Columns are separated by semicolons and special characters display correctly.
Do I get an email when the backup is ready?
No. The list updates itself while a backup is running. It usually takes only a few minutes.
