Send the gallery
With one send, every family gets its personal access code and the gallery link by email. You see beforehand whom you reach. Pick groups. Check. Send.
At a glance
- Sending only works once the sale has started and photos are online.
- The window shows exactly who gets an email and who does not. What you see is what gets sent.
- You reach children without an address with the printed access code.
Open the job and switch to the Send gallery tab. The Send button appears once three things are true:
- The sale has started. Before that, parents would land in a closed shop.
- At least one photo is online. Otherwise the gallery would be empty.
- Email addresses are stored for the children. How they get there is described under Where addresses come from.
- 1Reminders: shows that reminder emails are active. A click opens their settings.
- 2Notice: the gallery has a closing date, but no access code has gone out by email yet.
- 3Send: opens the send window.
The labels adapt
The window calculates everything in advance. When you change a selection, the numbers update right away.
- 1Select groups: how many children are reachable per group.
- 2Only children without an email: leaves out everyone who already got an access code. Recommended.
- 3Counters: reachable, already sent, no email, undeliverable.
- 4Not reachable: with the reason. If the address is missing, enter it right here with Add email.
- 5Email quota this month: how much is already used.
- 6Send emails: leads to the confirmation.
Under children will receive an email you see every recipient. Untick one and that family gets nothing this time. Then Pixalo asks once more.
- 1Confirmation: you confirm that you have the parents' consent, for example from the consent form. Pixalo logs this.
- 2Send: starts sending right away.
No child gets the code twice
After the start, the window counts live. With Continue in background you close it and sending continues. With Cancel you stop it. Emails already sent cannot be recalled. Only one send runs per job at a time.
| Counter | Meaning |
|---|---|
| sent | The email is on its way. In the Photos tab the child shows Email sent. |
| skipped | For example because the address has been blocked in the meantime. |
| failed | At the end, Not delivered to: lists every affected family. |
More addresses mean more orders. There are five ways:
| Way | How it works |
|---|---|
| Import | The school's list of children with an email column. See Import a list. |
| Online sign-up | Parents sign up their child themselves and confirm their address. See Online sign-up. |
| Pre-registration | Before the gallery opens, parents can leave their address on the gallery page. Turn it on under Website theme › Gallery layout. |
| Email card in the gallery | If the address is missing, the open gallery shows a small card above the photos. Also under Website theme › Gallery layout. |
| By hand | With Add email in the send window or when editing the child. |
- 1Green tick: entered and confirmed by the parents themselves.
- 2Clock: entered by the parents, the confirmation link has not been clicked yet.
- 3Send access code by email: to this child only.
- An orange tick means: entered by you, through import, list or app. Typos only show up when an email bounces.
- The bell means: reminders are allowed. Crossed out: no reminders. The access code still arrives.
- Pixalo only stores addresses entered by parents after the click on the confirmation link.
- After sending, the child shows Email sent or Email undeliverable.
If a family deleted the email or changed its address, send the code again to that family only. In the Photos & groups tab, tap the paper plane icon in the child's row. The same quota and blocks apply as for the big send.
Wait a moment
Every family gets an email with your logo, the personal access code and a button to the gallery.
The email arrives in the language in which the parents signed up online. Otherwise in your studio language.
Anyone who orders nothing after the send can automatically get reminders. They only start after the access codes were sent. Printed cards alone are not enough. Set them up under Run time and reminders.
What reminders achieve
If an email bounces permanently or someone reports it as spam, Pixalo blocks the address. It then receives no more emails. This protects your sender from spam filters.
- 1Spot it In the window under undeliverable, at the child as Email undeliverable.
- 2Get the right address Ask the school or the family. Often it is just a typo.
- Change the address and send again Edit the child, enter the new address, send to that child.
Your studio has an email quota per month. Access codes and reminders both count. You see the current level in the send window. During the trial the quota is smaller.
Quota not enough
Photographers in your team can only send with the Send gallery emails permission. This applies to the big send and to single sends.
Frequently asked questions
Do I still need printed cards?
Yes. It is the only way to reach children without an address. And some parents find the card in the backpack faster than the email.
A family says the email never arrived. What now?
First have them check the spam folder. If the child shows Email undeliverable, the address is wrong. Otherwise simply send to that child again.
Can I repeat the send?
Yes. With Only children without an email switched on, only new addresses go out. Switch it off and everyone gets the code again.
How do I send for a single client job, such as a wedding?
There you type in the addresses yourself. How it works is described under Client gallery.
What happens when parents unsubscribe from reminders?
Then they get no more reminders. They still get the access code, because without it they cannot reach their photos.
