How it works

Under Photo lab you find everything in one place. The way from lab account to parcel at the family:

  1. 1Connect: enter the lab customer number.
  2. 2Products: create them from the lab catalog or map existing ones.
  3. 3Event: decide whether to deliver home and to the school.
  4. 4Send: hand paid orders to the lab with one click.
  5. Track: the lab reports acceptance, production and shipping. Parents get the tracking number.

Who charges what

The lab bills you directly, according to its price list. Pixalo only connects. What parents pay is set by your sales prices.

Photo lab is in beta. Which labs you see depends on the country in your company details. If the area does not appear, contact us.

Connecting a lab

The Connections tab lists the labs available for your country.

  1. 1Tabs: Connections, Products, Catalog & mapping, Calculation and Lab orders.
  2. 2Connected: the customer number is saved. Without it this says the number is missing.
  3. 3Edit: change customer number and markup.
  4. 4Test connection: checks format, catalog and open mappings. The lab is not contacted.

Connect or Edit opens the connection window:

  1. 1Customer account at the lab: none yet? Send the registration directly through Pixalo.
  2. 2Customer number at the lab: stored encrypted and only shown masked. Leaving it empty keeps the saved number.
  3. 3Markup for new products: only a suggestion when creating from the catalog. Every price stays editable.
  • Pause: no new orders go to the lab. Resume at any time.
  • Delete connection: only while there are no lab orders yet. Otherwise pause.

Registering with the lab

The lab creates your account itself. With Send application via Pixalo you send the request without writing an email.

  1. 1Company details: taken from your company settings. If something is missing, add it there.
  2. 2Send request: phone is required because the lab calls with questions.

The lab replies directly to your email address and sends price list and customer number. You receive a copy of the request. You then enter the number in the connection.

Creating products from the catalog

The fastest way: in the Products tab you pick lab articles. Pixalo creates product, variants and mapping in one step.

  1. 1Three steps: selection, prices, done.
  2. 2Product family: one tick selects all its articles. Every family becomes a product, every article a variant.
  3. 3created: you already have this article. It cannot be created twice.

In the second step you set the prices:

  1. 1Markup on lab cost: prefills all prices. Sales price = lab cost × (1 + markup).
  2. 2Product name: free to choose, applies to the whole family.
  3. 3Sales price: adjust every price individually.
  4. 4Margin: updates live, net after lab cost.

Afterwards

Adjust names, images and descriptions under Products. The lab mapping stays in place.

Mapping existing products

If you already have products, map them to lab articles in the Catalog & mapping tab.

  1. 1Tools: Open only, search, Apply suggestions and CSV import and export.
  2. 2In-house: you make this product yourself. Its orders do not go to the lab.
  3. 3Lab article: article number and name. Next to it the lab cost, with adjust price for your own purchase price.

Calculation

The Calculation tab shows for every variant and package what you keep.

  1. 1Margin: your net price minus lab cost. Green from 50 percent, yellow from 20 percent, red below.
  2. 2In-house: no lab cost, so no margin.
  3. 3Packages: lab cost of all contents together. Digital contents cost nothing.
  4. 4Lab shipping costs: what the lab charges per shipment, by method. Non-binding because the weight is not known beforehand.

Prices never change by themselves

If the lab changes its prices, your sales prices stay the same. The row then shows the lab price changed. You can export the table as CSV.

Setting delivery in the event

In the event under Photo lab you decide how the photos reach the families.

  1. 1Home delivery: shipping to the family. On the left what parents pay. On the right what the lab charges you. Below the comparison.
  2. 2Pickup at school: one batch order after the order deadline. Parents pay no shipping.
  3. 3Delivery address for the batch order: the institution or your studio.
  4. 4Batch order to the lab: goes out automatically at the order deadline. Send now sends it earlier.
  • Order deadline: if empty, the gallery end applies.
  • Delivery at school: if empty, Pixalo calculates the date from deadline and production time. Parents see it when ordering.
  • Late orders: orders after the batch order wait. Send them as their own order with Send late orders.

Shipping costs of the batch order

With pickup at school parents pay nothing. You carry the lab shipping. The institution needs a complete address for pickup.

What parents see when ordering

If pickup at school is active, parents choose between two ways under Delivery at checkout:

  1. 1Delivery: home delivery with shipping costs or pickup at school free of charge, with delivery date.

With pickup at school the delivery address is not needed, the billing address remains. Pickup only appears if every item in the cart comes from the lab. Otherwise Pixalo delivers home.

Sending orders to the lab

Every order with prints or photo gifts shows the Photo lab card on the right. It checks beforehand whether everything is ready.

  1. 1What does not go to the lab: here an in-house magnet.
  2. 2Send to lab: hands over the order. Above it lab, delivery method and number of items.
  3. 3Preview: shows the lab package with all files before anything is sent.
  • Only paid orders go to the lab. Open bank transfers or cash payments wait.
  • If an order holds lab articles and in-house items, only the lab part goes out. Parents then receive two shipments.
  • If a family chose a crop, the order waits until the cropped file is ready.
  • Every package contains a delivery note with thumbnails so the lab matches everything correctly.

Tracking orders

The Lab orders tab lists everything at the lab. The lab reports every step back.

  1. 1Produced: the lab has printed. In the order the print status shows ready to ship.
  2. 2Shipped: the parcel is on its way.
  3. 3Shipment: the tracking number with a tracking link.

Once the whole order is shipped, the family gets an email with the tracking number. On Error or if the lab does not collect a package within 48 hours, you can send it again with Send again.

Frequently asked questions

Does the lab connection cost extra?

No. You pay the lab its prices for printing and shipping, directly through the lab invoice.

My lab is not listed. What now?

Use the lab export. It creates CSV or XML with all images in your lab’s format.

Can I cancel a lab order?

A sent order can only be stopped through the lab’s customer service. Contact them as soon as possible.

What happens if the lab raises its prices?

Your sales prices stay the same. The calculation shows the new margin and you decide whether to adjust.

Can I make some products myself?

Yes. Mark them as in-house. Those items stay with you, the rest goes to the lab.
