At a glance

  • A template defines what goes into the CSV or XML file. Set it up once, use it again and again.
  • The ZIP contains the file and the ordered originals. The download is valid for 48 hours.
  • Exported orders are marked. So you never send anything twice.

Creating an export

You find the export under Orders › Lab export. Choose a template and narrow down the orders.

  1. 1Export template: defines format and content. You also create new templates here.
  2. 2Filter: event, period, customer or order number. Already exported orders are hidden by default.
  3. 3Selection: all matching orders are selected. Removing a tick takes one out.
  4. 4Create export: starts building it in the background.

Under Advanced filters you also choose status, payment method and product types. The default is Paid.

Limits

One export holds up to 2000 orders. Only one export runs at a time.

Downloading exports

After the start Pixalo switches to Exports. A bar shows the progress. You can leave the page.

  1. 1Status: queued, creating, ready, failed or expired.
  2. 2Download until: the ZIP is available for 48 hours.
  3. 3Download ZIP: downloads the file directly.
  4. 4Delete: removes the ZIP. The orders stay unchanged.
  • Every exported order gets the date Last exported.
  • Expired? Simply create the export again.
  • Note on an empty result: the template excludes digital products by default.

Designing templates

A template describes the file for your lab. Click New template or Edit.

  1. 1Available fields: order, customer, addresses, item, package, photo, student, class, event and more.
  2. 2Your structure: add fields by dragging or with plus. Sort by the handle. You decide the name in the export.
  3. 3CSV or XML: the file format.
  4. 4Live preview: shows the result with your real orders. Downloadable as a sample file.

The Formatting icon on a column opens more options:

  • Dates and amounts: pick a date format. Amounts as decimals or in cents.
  • Case, prefix, suffix: for example UPPER or a fixed addition.
  • If empty: a fallback value for empty fields. Add fixed texts with Insert fixed text.

Setting up CSV and XML

For XML the structure shows a tree: what appears once per order and what repeats per item.

  1. 1Order level: fields that appear once per order.
  2. 2Item level: fields that repeat for every item. Drag fields between the levels.
  3. 3Preview: the XML file exactly as your lab receives it.

In the Format tab you set the details. For CSV: delimiter, decimal separator, encoding, line ending, header row and BOM for Excel. For XML: element names, nested or flat, element or attribute.

File names in the ZIP

In the File names in ZIP tab you decide how folders and images are named.

  1. 1Folder per order: for example the order number. Leaving it empty puts everything in one folder.
  2. 2File name: pattern for every image.
  3. 3Placeholders: a click inserts them into the last chosen field. For example article number, student or class.
  4. 4Example: the name of the first file in the ZIP.

What goes into the ZIP

The Line items tab decides which items are exported:

  • Prints: on.
  • Photo gifts: on.
  • Digital products: off. Families download them themselves.
  • Expand packages into single items: on. Every package content becomes its own row.
  • Original images: the ordered originals are in the ZIP. If a family chose a crop, that crop is included.

Print-ready files

Print-ready files are marked soon. Today the ZIP contains the originals.

Article numbers

Labs usually match products by article numbers. Pixalo assigns them automatically.

  • Every variant gets a number like ART-00001, every package one like PKT-00001.
  • Enter your lab’s own numbers on the variant or in the package. Leaving it empty keeps the current number.
  • Each number exists only once. A change applies to future orders.
